DATEV Lodas Export

You can export the recorded employee times, absences, and travel allowances/overtime pay using our DATEV Lodas export feature and then import them into DATEV Lodas using the import function.

Go to Personnel -> Exports

The following export screen will open.

You will receive the consultant number and client number from DATEV. These two fields are required fields.

Now select the employees for whom you want to export time entries, absences, and travel allowances/overtime pay.

By default, all employees are preselected for export.

Note: In the employee selection, the employees for whom the checkbox for Payroll is selected in the "Personnel master data" are available for selection.

Also select the month for which you want to export your employees’ records.

In the "Standard Wage Type" field, enter the wage type from DATEV Lodas to which your employees’ time records should be posted. This field is also a required field.

Absences and travel allowances/surcharges are exported with the wage types for which they were recorded in 123erfasst. You can learn more about this at here.

In the Absence Types dropdown, select the absence types (vacation, sick leave, training, etc.) that should be exported.

If you check the box next to "With Master Data," an additional section will be included in the export file listing the names of the booked projects.

The "Without Cost Center" setting ensures that the recorded data is exported without a cost center.

If the Use Company PNR checkbox is selected, the UseCompanyPNR=Yes switch is set in the export file.

Your employees’ personnel numbers are then exported as the field pnr_company and, in DATEV Lodas, are matched not with the normal personnel numbers but with the company personnel numbers.

If only verified entries are to be exported, check the box next to Export only verified data.

Entries that have already been exported are not exported again by default during a subsequent export. However, if you want all entry data to be exported again during the subsequent export, check the box next to "Re-export previously exported data."

With the "Test Export" checkbox selected, clicking "Export" creates a test export.

Once you have made all settings and selections, click Export to create your export file, which you can import into DATEV Lodas via the ASCII import.

The system will ask you whether the exported data should be automatically locked. You can answer this question by selecting Lock or Do not lock.

If you select "Lock," all entries you export will be marked with a padlock in 123erfasst.
