Export templates are templates that you can use for your quality tickets.

A good example of such an export template is the so-called VOB template (German Construction Contract Procedures). It governs the contractual terms for the performance of construction work, as well as the awarding of construction contracts by public contracting authorities.

Office

To create an export template, navigate in 123erfasst Office to More -> Admin and then to Quality -> Export Templates.

Click the +Export Template button in the top-right corner of the page to open the entry form for your export template.

The corresponding entry form opens.

First, enter a title for your export template.

In the Sorting section, you can specify how and by which field the tickets should be sorted within the template during export.

You can also specify which user groups should be able to view and use this template.

In the View section, you specify which information from the tickets should be exported. For example, if the location on the map is important in the ticket, check the box next to Location.

Compact view means that the individual tickets are listed one after another in the export. If the checkbox is not selected, the tickets are listed individually on their own A4 page.

In the Fields section, you can now add custom fields to the template, which you can fill in immediately before exporting. To do this, click the +.

Enter a title for your new field and select its type. These two fields are required.

Click Save to complete the field entry.

If fields should only be displayed under certain conditions, create rules for the fields via +Add Rule.

Give your rule a name.

Then define the condition (which field must be filled in?) and the action (so which field is displayed?).

Note: Rules cannot be created for text input fields!

In the last section of the export template, we come to the title and closing page.

Here, you can enter a fixed text and insert the fields you’ve defined under “Fields” into the text as placeholders. In the ticket export, you’ll then fill these placeholders with your entries.

To insert the fields as placeholders into the title and/or closing page, position the mouse cursor at the desired location in the text and click on one of your fields below the text field.

The fields are automatically enclosed in curly braces. This tells the system that they are placeholders.

Click Save in the top-right corner to complete the creation of your export template.

Now click on Quality -> Tickets, select the ticket(s) you want to export, and click on the download icon.

In the export dialog, select the file format you want to generate, and under Export Template, select the template you just created.

Once you’ve selected your export template, the fields from your export template will appear in the lower section of the export screen, which you can now fill out.

Clicking on "Create Export" will generate the export, and you can then download it.

The placeholders from your export template will now be filled with the content from the fields in the export screen.

The selected tickets are also embedded between the title page and the final page of the export template.
