In the "Working Hours" section, you can enter your employees' scheduled working hours and, if applicable, their automatic break times.

The created work schedules are listed via the buttons More -> Admin > HR -> Work Schedule.

To create a new work schedule, select the +Work Schedule button in the top right corner.

The following window will now open:

Here is an example of how to fill in the fields:

  1. Enter a title
  2. Add the employees or projects for which these working hours are relevant
  3. Select the desired workdays
  4. Assign the target hours for each workday

If the working hours differ, for example during winter time, you can also mark this by clicking the Add Different Working Hours button.

  1. Select the desired months here
  2. Then select the desired workdays
  3. Assign the target hours

Maximum working hours

The new Working Hours 4.0 feature has now been expanded to allow you to set a maximum working time per day. This prevents employees from booking hours beyond the specified number. Once the maximum working time is reached, the time is thus limited.

Use this icon to set the maximum working hours:

Here is a small example:

Note: This rule is set per day and can therefore vary from day to day.

Earliest Start / Latest End

You can set an earliest start and/or a latest end for the work shift.

Use this button to set the earliest start time:

Example:

The earliest start time means that while employees can clock in before the earliest start time, their time will automatically be adjusted to the earliest start time.

Use this button to set the latest end time:

The latest end time means that employees cannot clock out after 7:00 PM. The time is therefore adjusted to 7:00 PM.

Automatic Breaks

You can define breaks using rules, which are then automatically recorded.

To do this, click the Add Automatic Break button.

Here, you can enter the desired break, which should be automatically deducted after a certain amount of time:

Here, the break is to be deducted after 6 hours of work, lasting 60 minutes. After clocking in, this break is then automatically applied.

Under "Minutes min.," enter the time that should still be included in the automatic break rule. If a break of less than 15 minutes is manually recorded, it will be deducted in addition to the automatic break. If a break of 15 minutes or more is recorded here, the automatic break that is still to be deducted is reduced by these 15 minutes.

Note: You can also define multiple breaks. The breaks always refer to the total break time that is to be taken on that day. For example, if the second break is to be 15 minutes long, you must enter 45 minutes here, since the first break of 30 minutes is included in that total.

Fixed Breaks

If you want a fixed break to be automatically scheduled at a specific time, you can set this up as well.

To do this, click on the displayed icon. A From/To dialog box will then open, which you can configure.

Here are two examples:

I have set a fixed break for Monday and Thursday.
